Job Title: E-Billing Coordinator

Job Type: Full-Time

Salary Range: $80,000 – $100,000

Overview

A mid-sized law firm seeks an experienced E-Billing Coordinator to manage the full billing cycle, including invoice preparation, electronic billing submission, compliance tracking, and resolution of billing disputes. The ideal candidate will also assist with new client intake, collections, and accounts receivable reporting. This position works closely with attorneys, finance teams, and external clients to ensure timely and accurate billing operations.

Responsibilities

Billing & E-Billing

  • Prepare and submit invoices using Aderant Expert, iTimekeep, and client-specific eBilling platforms
  • Ensure compliance with client billing requirements (UTBMS codes, rate structures, invoice formats)
  • Review and resolve invoice rejections, appeals, or discrepancies in coordination with attorneys and client representatives
  • Track invoice statuses and follow up on outstanding balances
  • Maintain detailed billing records and generate financial reports for internal use
  • Support new staff with training on billing tools and procedures

New Business Intake

  • Assist in the onboarding of new clients and matters, ensuring data accuracy and compliance with firm policies
  • Coordinate document collection and approval workflows with attorneys
  • Support conflict clearance processes and maintain up-to-date client records

Collections & A/R

  • Monitor accounts receivable and follow up on delinquent accounts
  • Partner with attorneys and clients to resolve billing disputes and accelerate payment cycles
  • Generate A/R and collection status reports to support internal review and strategy

Qualifications

  • 4–5 years of legal billing experience, with a focus on electronic billing
  • Hands-on experience with Aderant Expert (EA Pro Billing), Microsoft Outlook, Excel, and reporting tools
  • Strong attention to detail, organizational skills, and ability to manage priorities independently
  • Demonstrated ability to collaborate across departments and communicate effectively with attorneys and clients
