Administrative Assistant / Office Coordinator

Location: Blawnox – RIDC Park (On-site, Full-Time)

Practical Administrative Solutions, LP (PAS) is seeking a highly organized, professional, and proactive Administrative Assistant / Office Coordinator to support our daily operations and help keep our offices running smoothly. This is a full-time, on-site position requiring a physical presence in our Blawnox office Monday through Friday . Local candidates are strongly preferred.About the Role In this dynamic position, you’ll play a key part in both administrative and facilities coordination. You’ll handle scheduling, correspondence, and office logistics — ensuring that our spaces are organized, efficient, and welcoming for staff and visitors.

Key Responsibilities

  • Provide day-to-day administrative and clerical support, including scheduling meetings, managing calendars, and handling calls and correspondence in a multi-company environment.
  • Prepare and proofread documents, reports, presentations, and meeting minutes.
  • Receive, sort, and send mail and packages; assist with filing and data entry.
  • Coordinate travel, meetings, and event logistics.
  • Greet and assist visitors, clients, and vendors professionally.
  • Monitor office supplies, equipment, and kitchen inventory; place orders as needed.
  • Liaise with building management, vendors, and maintenance providers.
  • Assist with workstation setup, office access systems, and adherence to safety protocols.
  • Collaborate with other administrative staff to distribute communications and support company events.
  • Help maintain office policies, manuals, and internal contact lists.

QualificationsRequired:

  • Prior experience as an administrative assistant, office coordinator, or in a similar role.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft 365 (Outlook, Word, Excel, Teams, etc.).
  • Punctual, dependable, and able to work independently or as part of a team. (Paralegal skills a plus, but not required)
  • Ability to work on-site five (5) days per week; local candidates preferred.

  • Ability to lift up to 25 pounds occasionally.
